Terms and Conditions for Accommodation Contracts
Article 1 — Scope of Application
- Accommodation contracts and related contracts entered into between almond hostel & cafe (hereinafter the “Hostel”) and guests shall be governed by these Terms and Conditions.
- Matters not provided for in these Terms and Conditions shall be governed by laws and regulations or by generally established practices.
- Where the Hostel agrees to a special arrangement to the extent that it does not contravene laws and regulations or generally established practices, such special arrangement shall prevail notwithstanding the preceding paragraph.
Article 2 — Operator and Facility Information
- The operator of the Hostel is NUTS OFFICE Inc.
- The location of the Hostel is set out on the Access page of the Hostel’s official website.
- Inquiries regarding these Terms and Conditions, accommodation reservations, use of the facility, and the handling of personal information may be made through the contact form on the Hostel’s official website.
Article 3 — Application for Accommodation Contracts
- A person who intends to apply for an accommodation contract with the Hostel shall make the application through the Hostel’s official website, a reservation site used by the Hostel, or another method approved by the Hostel.
- When applying for accommodation, the applicant shall accurately declare their name, address, contact details, dates of stay, number of guests, and any other matters that the Hostel deems necessary for the accommodation.
- A person under 16 years of age must be accompanied by a parent or legal guardian. A person under 12 years of age may not stay at the Hostel even if accompanied by a parent or legal guardian.
- If a guest, during their stay, requests to extend the stay beyond the original schedule, the Hostel shall treat such request as a new application for an accommodation contract made at the time the request is submitted.
Article 4 — Conclusion of Accommodation Contracts
- An accommodation contract shall be concluded when the reservation procedure is completed through the Hostel’s official website, a reservation site, or another method approved by the Hostel.
- The Hostel may send a confirmation email or other notice after the reservation is completed. However, even if such notice fails to reach the guest due to an error in the guest’s email address, reception settings, spam settings, the communication environment, or other circumstances on the guest’s side, this shall not affect the conclusion of the accommodation contract so long as the reservation procedure has been completed.
- Where individual conditions are established with respect to reservation details, charges, payment terms, or cancellation terms — such as conditions based on the reservation channel, reservation site, accommodation plan, campaign, or non-refundable terms — the conditions displayed at the time of reservation shall prevail.
Article 5 — Cooperation with Infection Prevention Measures
- The Hostel may, in accordance with laws and regulations, request a person intending to stay or a guest to cooperate, to the extent necessary for infection prevention, with confirmation of their state of health, confirmation of contact details, and other necessary matters.
- A request for cooperation under the preceding paragraph shall be made only where based on laws and regulations or to the extent necessary for the safety and hygiene of the facility, and shall not be made for the purpose of unjust discriminatory treatment.
Article 6 — Refusal to Conclude an Accommodation Contract
The Hostel may decline to conclude an accommodation contract in any of the following cases.
- Where the application for accommodation does not comply with these Terms and Conditions, the conditions displayed at the time of reservation, or the Hostel’s House Rules.
- Where there is no vacancy due to full occupancy or other reasons.
- Where accommodation cannot be provided due to a natural disaster, facility malfunction, power outage, water outage, communication failure, a request or order from an administrative authority, or other unavoidable circumstances.
- Where the person intending to stay is deemed likely to act, in relation to the accommodation, in violation of laws and regulations, public order, or good morals.
- Where the person intending to stay is deemed to be a member of an organized crime group (boryokudan), an associate member, a person related to such a group, or other anti-social force.
- Where the person intending to stay is deemed to be a corporation or other organization whose business activities are controlled by an organized crime group or its members.
- Where the person intending to stay is a corporation or other organization, and any of its officers or related persons is deemed to be a member of an organized crime group or other anti-social force.
- Where the person intending to stay is deemed likely to cause significant nuisance, danger, anxiety, or damage to other guests, employees, neighboring residents, or the Hostel’s facilities.
- Where the person intending to stay is deemed to be a patient, etc., of a specified infectious disease as defined by law.
- Where the person intending to stay attempts to bring in flammable, ignitable, or explosive items, items emitting a foul odor, markedly unsanitary items, or other items that the Hostel does not permit to be brought in for safety management reasons.
- Where the person intending to stay is, due to intoxication, the influence of drugs, or other reasons, unable to control their own conduct and is deemed likely to cause nuisance, danger, or damage to other guests, employees, neighboring residents, or the Hostel’s facilities.
- Where, in relation to the accommodation, acts of violent demand, intimidation, extortion, insult, coercive conduct, unjust demands for discounts, excessive demands for services not included in the contract, prolonged unjust demands, or other acts seeking a burden exceeding a reasonable scope are committed. This shall not apply, however, where the removal of social barriers is requested pursuant to the Act on the Elimination of Discrimination against Persons with Disabilities.
- Where the person intending to stay repeatedly makes demands that impose an excessive burden and are likely to significantly impede the provision of accommodation services to other guests.
- Where the person intending to stay has previously, at the Hostel, had an accommodation contract cancelled, been refused accommodation, been requested to leave, or committed a serious violation of the House Rules.
- Where refusal of accommodation is otherwise permitted by laws, regulations, or ordinances.
Article 7 — Explanation of Refusal to Conclude an Accommodation Contract
A person intending to stay may, where the Hostel declines to conclude an accommodation contract pursuant to the preceding Article, request the Hostel to explain the reason therefor.
Article 8 — Cancellation by the Guest
- A guest may cancel the accommodation contract by notifying the Hostel.
- Where all or part of the accommodation contract is cancelled due to a cause attributable to the guest, the Hostel shall charge a cancellation fee in accordance with the separately established Cancellation Policy, the conditions displayed at the time of reservation, or the conditions of the reservation site or the like.
- Where a guest does not arrive by the final check-in time and does not contact the Hostel, the Hostel may treat the accommodation contract as having been cancelled by the guest.
Article 9 — Cancellation by the Hostel
- The Hostel may cancel the accommodation contract and request the guest to leave where the guest falls under any of the following.
- Where a cause falling under any item of Article 6 becomes apparent after the commencement of the stay.
- Where the guest violates the Hostel’s House Rules and does not comply with the Hostel’s caution or request.
- Where the guest smokes in a non-smoking area or within the building. This includes electronic cigarettes, heated tobacco products, and the like.
- Where the guest brings in, uses, or attempts to use fire, hazardous materials, or items prohibited by the Hostel.
- Where the guest engages in violence, intimidation, coercion, insult, sexual harassment, discriminatory conduct, noise, nuisance, dangerous conduct, or other conduct causing significant disadvantage to other guests, employees, neighboring residents, or the Hostel’s facilities.
- Where the guest allows a person other than the registered guest to enter the building or a guest room or bed area without permission.
- Where the guest fails to pay the accommodation charges or other obligations owed to the Hostel.
- Where continuation of the stay becomes difficult due to a natural disaster, facility malfunction, power outage, water outage, communication failure, a request or order from an administrative authority, or other unavoidable circumstances.
- Where the Hostel cancels the accommodation contract pursuant to the preceding paragraph, and the cause of cancellation is attributable to the guest, the Hostel may decline to refund charges for accommodation services and the like that the guest has not yet received.
Article 10 — Explanation of Cancellation by the Hostel
A guest may, where the Hostel cancels the accommodation contract pursuant to the preceding Article, request the Hostel to explain the reason therefor.
Article 11 — Registration of Accommodation
- On the day of the stay, the guest shall register the following matters by the method designated by the Hostel.
- Name
- Address
- Contact details
- Occupation
- Nationality
- Date of arrival and date of departure
- Other matters required to be entered in the guest register by laws and regulations
- For foreign guests who do not have an address in Japan, in addition to the matters in the preceding paragraph, cooperation is requested with respect to nationality, passport number, presentation of the passport, and retention of a copy of the passport.
- Where a guest does not comply with the provision or confirmation of the information set out in the preceding paragraphs, the Hostel may refuse to conclude the accommodation contract or cancel the accommodation contract.
Article 12 — Hours of Use of Rooms and Beds
- The period during which a guest may use a guest room or bed of the Hostel shall be from 16:00 on the day of arrival until 11:00 on the day following the final day of the stay.
- The Hostel may permit use outside the hours set out in the preceding paragraph. In such case, the guest shall pay the additional charge determined by the Hostel.
Article 13 — Check-in
- The check-in hours of the Hostel shall, in principle, be from 16:00 to 24:00.
- Where a guest who wishes to pay on site does not arrive within the check-in reception hours, the Hostel may be unable to provide accommodation services.
- For guests who have prepaid, the Hostel may provide check-in guidance by email or other means in the manner designated by the Hostel.
- The check-in method, reception hours, method of entry, and other guidance shall be as displayed at the time of reservation or on the Hostel’s official website.
Article 14 — Payment of Charges
- Accommodation charges and other charges shall be paid at the time of reservation, at check-in, or at the time designated by the Hostel, by a method designated or approved by the Hostel.
- The currency of payment shall be Japanese yen.
- Where individual conditions are established by the reservation site, accommodation plan, campaign, non-refundable terms, or the like, the conditions displayed at the time of reservation shall prevail.
- Even where the Hostel has provided a guest room or bed to the guest and made it available for use, but the guest voluntarily does not stay, the accommodation charges shall not be refunded. However, where separate conditions are established at the time of reservation, those conditions shall apply.
Article 15 — Compliance with House Rules
Within the Hostel, a guest shall comply with the House Rules established by the Hostel and presented within the building, on the official website, on the reservation screen, in guidance notices, or by other means.
Article 16 — Handling of Deposited Articles
- Where loss, damage, or other harm occurs to articles deposited by a guest at the front desk or another place designated by the Hostel, the Hostel may request a declaration of their type and value.
- Except where the harm under the preceding paragraph is caused by the Hostel’s intent or negligence, the Hostel shall bear no liability.
- Even where the Hostel bears liability, the amount of compensation shall be limited to 10,000 yen. This shall not apply, however, where the Hostel has acted with intent or gross negligence.
- With respect to cash, valuables, passports, securities, electronic devices, recording media, precious metals, works of art, and other high-value items, the Hostel shall bear no liability except where the Hostel has expressly agreed to take custody of them.
Article 17 — Custody of Baggage or Belongings
- Where a guest’s baggage arrives at the Hostel prior to the stay, the Hostel shall take custody of it and deliver it to the guest at check-in only where the Hostel has agreed in advance.
- Where baggage or belongings are left behind at the Hostel after a guest has checked out, the Hostel shall, in principle, retain them for 14 days from the date of discovery.
- Where there is no contact from the owner after the period in the preceding paragraph has elapsed, or where the owner cannot be identified, the Hostel may dispose of the items.
- With respect to food and drink, perishables, items difficult to store for hygiene or safety reasons, items emitting a foul odor, hazardous materials, and other items the Hostel deems unsuitable for custody, the Hostel may dispose of them at its discretion regardless of the period in the preceding paragraph.
Article 18 — Liability of the Guest
Where the Hostel suffers damage due to the intent or negligence of a guest, the guest shall compensate the Hostel for such damage.
Cancellation Policy
Article 1 — General Cancellation Policy
- An accommodation reservation may be cancelled free of charge up to 7 days prior to the date of arrival.
- Where a reservation is cancelled after the point 7 days prior to the date of arrival, a cancellation fee of 100% of the total accommodation charges shall be charged.
- Where a guest does not arrive by the final check-in time and has not contacted the Hostel in advance, the Hostel shall treat the reservation as a no-show and shall charge 100% of the total accommodation charges.
- Where individual conditions are established by the reservation site, accommodation plan, campaign, non-refundable plan, group reservation, long-term stay, or the like, the conditions displayed at the time of reservation shall prevail over this Cancellation Policy.
Article 2 — Handling of Accidents, Disasters, and Emergencies
- Where accommodation becomes difficult due to unavoidable circumstances falling under any of the following, the Hostel may, upon request by the guest, reduce or waive all or part of the cancellation fee.
- Where, on the usual travel route from the point of departure to the Hostel, major public transportation is suspended due to an earthquake, typhoon, snowstorm, tsunami, flood, or other disaster, and travel to the Hostel by alternative means is also markedly difficult.
- Where a lineal relative of the guest has died.
- Where accommodation becomes impossible due to a public obligation under laws and regulations.
- Where the guest themselves suffers a serious illness, is hospitalized, or has an illness for which travel is deemed difficult by a physician.
- Where the Hostel otherwise recognizes an unavoidable circumstance equivalent to the preceding items.
- Ordinary delays, cancellations, or suspensions of trains, aircraft, buses, or other transportation, missed connections, reservation errors, schedule changes due to poor weather, and cases where only a report of poor physical condition is made without objective confirmation shall, in principle, be subject to the General Cancellation Policy.
- In determining the reduction or waiver of a cancellation fee, the Hostel may request the submission of a medical certificate, a delay certificate, a flight cancellation certificate, a document confirming a death, or other materials by which objective facts can be confirmed.
- Where an event eligible for reduction or waiver occurs, the guest shall promptly contact the Hostel after the occurrence of such event. The cancellation fee according to the timing of contact shall be as follows.

- Notwithstanding the preceding paragraph, where separate conditions are established at the time of reservation, or where special conditions such as a non-refundable plan apply, such conditions may prevail.
House Rules
Article 1 — General Provisions
- Within the Hostel, a guest shall comply with these House Rules, in-building notices, the official website, the reservation screen, the check-in guidance, and other guidance presented by the Hostel.
- The Hostel is a dormitory-style accommodation facility with spaces shared with other guests. A guest shall use the facility with consideration for other guests, employees, neighboring residents, and the facility.
Article 2 — Check-in and Check-out
- Check-in hours are, in principle, from 16:00 to 24:00.
- Check-out time is by 11:00.
- Late check-out is available until 14:00 only where approved by the Hostel. In such case, an additional charge determined by the Hostel shall apply.
- Check-in, check-out, late check-out, and other terms of use shall be provided via the official website, the reservation screen, in-building guidance, or a method designated by the Hostel.
Article 3 — Entry and Curfew
- The Hostel has no curfew.
- A guest may enter as necessary during their stay using a personal passcode key issued or provided by the Hostel or another method of entry.
- A guest shall not disclose, lend, transfer, or share with any third party the passcode, key, card, or other entry information issued or provided by the Hostel.
Article 4 — Entry by Non-Guests
- Persons other than registered guests may not enter guest rooms, bed areas, or guest-only areas except where permitted by the Hostel.
- For the café area and other areas where general use is permitted, the business hours and conditions of use determined by the Hostel shall apply.
Article 5 — Quietness and Use of Shared Spaces
- Within the building, a guest shall not engage in any act that interferes with the sleep, rest, or stay of other guests.
- Loud conversation, phone calls, playback of music or video, sorting of baggage, alarms, and other noise-producing acts shall be carried out with consideration for other guests, regardless of the time or place.
- Where the Hostel establishes quiet hours, lights-out hours, equipment-use hours, or other restrictions for particular time periods, a guest shall comply with them.
Article 6 — Showers, Hair Dryers, and Other Equipment
- Showers, hair dryers, laundry, and other in-building equipment shall be used in accordance with the hours of use, method of use, charges, and other conditions determined by the Hostel.
- Hair dryers and other noise-producing equipment shall not be used outside the hours designated by the Hostel.
- A guest shall use in-building equipment cleanly and appropriately, and after use shall return it to a state considerate of the next user.
Article 7 — Prohibition of Smoking
- The interior of the Hostel is non-smoking, except for places expressly designated by the Hostel as smoking-permitted.
- Electronic cigarettes, heated tobacco products, and the like shall be treated in the same manner as in the preceding paragraph.
- Where a guest smokes in a non-smoking area, the Hostel may cancel the accommodation contract and charge cleaning costs, deodorization costs, repair costs, business losses, and other damages incurred by the Hostel.
Article 8 — Hazardous Materials and Prohibited Items
A guest shall not bring the following items into the building.
- Gas, fuel, alcohol fuel, gasoline, kerosene, gunpowder, fireworks, and other flammable, ignitable, or explosive items.
- Items emitting a foul odor, markedly unsanitary items, and items that decay easily.
- Items whose possession or use is prohibited by laws and regulations.
- Items likely to cause danger, anxiety, nuisance, or damage to other guests, employees, neighboring residents, or the Hostel’s facilities.
- Other items that the Hostel does not permit to be brought in for safety management reasons.
Article 9 — Eating, Drinking, and Nuisance
- A guest shall act with consideration not to cause nuisance to other guests with respect to eating, drinking, handling of strongly scented items, and other conduct within the building.
- Use of the building in a state where one is unable to control one’s own conduct due to intoxication, inebriation, the influence of drugs, or other reasons is not permitted.
- Where the Hostel determines that a guest’s condition or conduct is likely to cause nuisance, danger, or damage to other guests, employees, neighboring residents, or the facility, the Hostel may restrict use, request the guest to leave, or cancel the accommodation contract.
Article 10 — Photography, Recording, and Streaming
- Where a guest engages in photography, recording, live streaming, or similar acts within the building, the guest shall not infringe the privacy, likeness, voice, personal information, or other rights of other guests, employees, or third parties.
- A guest shall not carry out photography, recording, or streaming in which other guests appear in guest rooms, bed areas, showers, toilets, washrooms, or other places with a high expectation of privacy.
- For commercial photography, news coverage, streaming, or other for-profit use, the prior consent of the Hostel shall be obtained.
Article 11 — Baggage Storage
- Baggage storage on the day of check-in and the day of check-out shall be carried out during the Hostel’s business hours, at the place and by the method designated by the Hostel.
- Baggage storage on days other than the day of check-in or the day of check-out shall be provided only where approved by the Hostel, and a charge determined by the Hostel shall apply.
- Cash, valuables, passports, securities, electronic devices, recording media, precious metals, works of art, and other high-value items shall not be included in stored baggage.
- The Hostel may refuse to store, or may dispose of, items that the Hostel deems unsuitable for custody.
Article 12 — Sending Baggage by Courier and the Like
- Where a guest sends baggage to the Hostel by courier or another method, the guest shall follow the Hostel’s guidance in advance.
- The Hostel may refuse to receive, or may dispose of, food, cash-on-delivery baggage, baggage for which the guest’s name or stay schedule cannot be confirmed, baggage unsuitable for storage, and other baggage that the Hostel deems unsuitable to receive or store.
- Where baggage arrives before the date of stay, the Hostel may charge a storage fee determined by the Hostel.
Article 13 — Lost and Found Items
- Where baggage or belongings are left behind at the Hostel after a guest has checked out, the Hostel shall, in principle, retain them for 14 days from the date of discovery.
- Where there is no contact from the owner after the period in the preceding paragraph has elapsed, or where the owner cannot be identified, the Hostel may dispose of the items.
- With respect to food and drink, perishables, items difficult to store for hygiene or safety reasons, items emitting a foul odor, hazardous materials, and other items the Hostel deems unsuitable for custody, the Hostel may dispose of them at its discretion regardless of the period in the preceding paragraph.
Article 14 — Change of Bed, Room, or Floor
The Hostel may change the bed, guest room, floor, or other place of use assigned to a guest where necessary for facility management, cleaning, repair, equipment failure, safety management, reservation management, or other operational reasons.
Article 15 — Compensation for Damage
Where damage, soiling, loss, odor attachment, or other harm occurs to the facility, equipment, fixtures, bedding, keys, cards, passcodes, or other property managed by the Hostel due to the intent or negligence of a guest, the guest shall compensate the Hostel for such damage.
Privacy Policy
Article 1 — Basic Policy
almond hostel & cafe, operated by NUTS OFFICE Inc., complies with the laws, regulations, guidelines, and other relevant norms concerning the protection of personal information, and handles appropriately the personal information acquired in the course of providing accommodation, food and beverage, sale of goods, and other related services.
Article 2 — Acquisition of Personal Information
The Hostel acquires customers’ personal information to the extent necessary for the provision of its services, including at the time of accommodation reservation, check-in, use of the facility, inquiries, use of the official website, and otherwise.
The Hostel may also receive personal information necessary for reservations and the provision of services from reservation sites, travel agencies, payment service providers, and other third parties in a contractual relationship with the customer or the Hostel.
Article 3 — Categories of Personal Information Acquired
The personal information acquired by the Hostel includes the following.
- Name, address, telephone number, email address, date of birth, nationality, and other basic information.
- Dates of stay, expected time of arrival, date of departure, room or bed information, reservation number, reservation channel, plan used, and other reservation and accommodation information.
- Occupation, place of previous stay, destination, and other matters required to be entered in the guest register under laws and regulations.
- Nationality, passport number, and a copy of the passport for foreign guests who do not have an address in Japan.
- Information relating to payment.
- Inquiries, requests, complaints, the content of communications, and other content of correspondence with the Hostel.
- Facility usage status, purchase history, and service usage history.
- Security camera footage, entry and exit records, and information relating to keys, passcodes, and access management.
- Cookies, IP address, device information, browser information, date and time of access, browsing history, and other information automatically acquired in connection with use of the website.
Article 4 — Purposes of Use
The Hostel uses the personal information it acquires for the following purposes.
- To provide accommodation, food and beverage, sale of goods, and other ancillary services.
- For reservation confirmation, identity verification, check-in, check-out, payment processing, issuance of receipts, handling of inquiries, and other communications necessary for transactions.
- For the preparation and retention of the guest register, responses to administrative authorities, and other responses required by laws and regulations.
- For ensuring safety within the facility, crime prevention, accident prevention, handling of trouble, and addressing violations of the House Rules.
- For service improvement, development of new services, analysis of usage status, and improvement of the website.
- For important notices, communications regarding reservation details, and guidance necessary for facility operation.
- Only where the customer has consented, for campaigns, surveys, service information, and the like.
- To respond to requests from laws and regulations, administrative authorities, courts, the police, or other public authorities.
- For other purposes incidental or related to the above.
Article 5 — Guest Register and Passport Verification
- The Hostel prepares and retains a guest register in accordance with the Inns and Hotels Act and other relevant laws and regulations.
- For foreign guests who do not have an address in Japan, cooperation is requested with respect to entry of nationality and passport number, presentation of the passport, and retention of a copy of the passport.
- The guest register is retained for 3 years in accordance with laws and regulations.
- Where the necessary information cannot be provided, the Hostel may be unable to provide accommodation services.
Article 6 — Handling of Payment Information
- Credit card numbers and other payment information are, in principle, acquired and managed by the payment service provider or the reservation site, and the Hostel handles such information only to the extent necessary for payment processing, reservation management, refund handling, handling of inquiries, and other provision of services.
- Where the Hostel handles payment information, it manages it appropriately in accordance with the procedures established by the payment service provider, the reservation site, and other relevant providers, and with laws and regulations.
Article 7 — Handling of Security Cameras and the Like
- The Hostel may install security cameras in corridors, entrances, the front desk, shared areas, and other necessary places for crime prevention, accident prevention, facility management, and handling of trouble.
- The Hostel does not install security cameras inside beds, showers, toilets, places involving changing of clothes, or other places with a high expectation of privacy.
- Security camera footage is retained only for the period necessary, according to device capacity, the needs of facility management, the needs of accident and trouble handling, and the like, and after the retention period elapses it is successively overwritten or deleted.
- Where there is a legitimate reason such as crime prevention, accident response, compliance with laws and regulations, or cooperation with the police or administrative authorities, the Hostel may review security camera footage, entry and exit records, and the like, and use or provide them to the extent necessary.
Article 8 — Provision to Third Parties
The Hostel does not provide customers’ personal information to third parties except in the following cases.
- Where the customer has consented.
- Where based on laws and regulations.
- Where necessary for the protection of the life, body, or property of a person and it is difficult to obtain the consent of the individual.
- Where particularly necessary for improving public health or promoting the sound development of children and it is difficult to obtain the consent of the individual.
- Where it is necessary to cooperate with a national agency, local public body, the police, a court, or another public authority in carrying out affairs prescribed by laws and regulations.
- Where the handling of personal information is entrusted to an external provider to the extent necessary to achieve the purposes of use, such as for reservation management, payment, customer management, access analysis, handling of inquiries, email distribution, system maintenance, cleaning, or security.
Article 9 — Outsourcing
The Hostel may outsource part of its operations — such as reservation management, payment, customer management, access analysis, handling of inquiries, email distribution, website operation, system maintenance, cleaning, and security — to external providers. In such case, the Hostel exercises necessary and appropriate supervision over the outsourcing parties.
Article 10 — Provision to Third Parties in Foreign Countries
- The Hostel may use the services of providers located outside Japan, such as reservation sites, cloud services, payment services, and access analysis services. As a result, personal information may be transferred to third parties in foreign countries to the extent necessary to achieve the purposes of use.
